Getting started
How does working together start?
With a free conversation about how your business works today: where your data lives, what is done by hand and where time is lost. You then receive a written offer with a description of the solution, phases, timeline and price. You commit to nothing until you approve it.
Do we need a custom system, or will off-the-shelf software do?
It depends on your processes. Off-the-shelf software works if your workflow is standard and you are ready to adapt to it. A custom system pays off when your processes are specific, you need integrations, or per-user licences become expensive. If we see that an off-the-shelf tool is enough, we will tell you so.
What kind of companies do you work with?
Companies whose day-to-day work has outgrown spreadsheets and email — from small teams to businesses with several departments. The industry matters less than the processes that can be organised and automated.
What should we prepare before the first conversation?
Nothing special. A short description of how you work today, which software and spreadsheets you use and what causes the most trouble is helpful. If you have example documents or spreadsheets, you can show them during the call.
Can you sign a non-disclosure agreement (NDA)?
Yes. If confidential information needs to be discussed, we are happy to sign an NDA before the first detailed conversation.
Price and timeline
What determines the price of a system?
The number of modules, user roles, required integrations, the amount of data to migrate and the complexity of reports. We describe all of this clearly in the offer, so you know what is done in each phase.
How long until the system is ready?
Larger systems are built in phases. First we launch a version with the most important features that your team can start using, then we keep developing it. You receive a detailed schedule with milestones together with the offer.
Can we start with a smaller project?
Yes, and it is often the best way to begin. You can start with one process — for example requests or inventory — and extend the system once you see the benefit.
Data and security
Can we bring over our data from Excel or other software?
Yes. We import clients, products, history and other data from Excel, CSV or your current system, so you can work with all your information from day one.
How secure is our data?
Every user has their own role and access rights, connections are encrypted and regular backups are made. We build systems with GDPR requirements for personal data in mind.
Who owns the data in the system?
You do. Your data always belongs to you and can be exported at any time.
Where will the system and data be hosted?
As agreed — on a secure server we provide or on your own infrastructure. We discuss the choice during the offer stage, taking your security requirements into account.
Using the system
Will the system work on phones and tablets?
Yes. Our systems run in the browser, so they work on desktop, tablet and phone without installing anything — in the office, in the warehouse or at a client’s site.
Can the system be connected to our accounting software?
Often, yes. If the software has an API or data import and export, we can set up automatic data exchange. We check this before the offer and tell you honestly what is possible.
Do you train our employees?
Yes. During roll-out we train your team and prepare short guides, so new employees can start working with the system without friction.
Can several employees work in the system at the same time?
Yes. Every employee has their own user with the right permissions, and everyone works with the same up-to-date data in real time.
Which software can the system be integrated with?
Accounting software, e-commerce platforms, payment providers, email, text message services, Google tools and other systems that offer an API or data import and export.
After launch
What if we need new features later?
Systems are built to be extended. We add new modules, reports and integrations when you need them — as your business grows, the system grows with it.
Do you also build websites?
Yes, especially ones connected to systems — catalogues, request forms, bookings and client portals whose data goes straight into your CRM or management system.
What happens if something goes wrong in the system?
You let us know and we fix it. Critical issues that block your work are handled first. Under a maintenance plan we also monitor the system so problems are spotted before they affect users.
Won’t we be dependent on you alone?
No. We build systems with widely used technology such as Laravel and keep the code clean and documented, so other developers can work with it too.
